All Data is stored electronically and backed up twice, daily. Digital photographs, audio recordings, video formats, and other relevant documents are kept on site for immediate access. It is encrypted via BitLocker and enabled on all PCs and Servers.  Email security features (SPK, DKIM & DMARK) are configured on our domain. Multi Factored Verification is implemented via our MS 365 tenancy and remote VPN, which ensures that our Data Management System (DMS), is enabled via a Two-Factor Authentication process and restricts individual users to relevant information.

 

Electronic systems, including all applications and data, are protected by our anti-virus systems. All emails sent and received to and from all users are monitored and filtered by up-to-date anti-spam and virus software. Daily updates, internal and external, use dedicated hard drive servers and ensure all data and software are safe, free from corruption, loss or damage and remain fully functional at all times. This ensures interruption of operations does not impact on our Clients.

Nicholas Anthony & Associates (NAA) uses Microsoft SharePoint as one method of securely receiving and uploading large quantities of documentation and sensitive information.

Microsoft administers SharePoint using a PowerShell console that requires two-factor authentication, one of the most important components to safeguarding data. This prevents credentials from being used without a secondary authentication factor, ultimately mitigating the risks and impacts of compromised passwords.

 

The Data is protected in transit and at rest, namely with content protection, meaning data is encrypted at the disk level using BitLocker encryption and at the file level using keys. While BitLocker encrypts data at disk level, per-file encryption adds an additional layer of security, as it includes a unique encryption for each file, where the keys to the encrypted content are stored at a physically different location from the content. Every component of this encryption uses Advanced Encryption Standard (AES) with 256-bit keys and is Federal Information Processing Standard (FIPS) 140-2 compliant.
